How to Choose ERP Software: A Practical Buyer's Guide

Step 3: Industry Fit Matters More Than Feature Lists

Generic ERP configured for generic business processes often requires significant customization to fit specific industries. A garments manufacturer needs style/colour/size matrix. A hospital needs appointment scheduling and patient records. A courier company needs last-mile tracking and delivery proof.

When evaluating ERP, ask specifically: Have you implemented this for businesses like mine? Can I speak to one of those customers? A vendor with 20 successful garments ERP implementations will deliver your project faster and cheaper than one doing it for the first time in your industry.

Step 4: Key Evaluation Criteria

Functional Coverage

Does the system cover all the modules you need today? What about 3 years from now as you add business functions? Buying a system that handles your current needs but requires a full platform switch when you add manufacturing or HR is expensive.

Ease of Use

Your staff will use this daily. A system that requires days of training for every new user will slow adoption and create resistance. Request a demo specifically designed around what your warehouse staff or sales team would do every day — not the executive dashboard.

Customization Flexibility

No ERP fits perfectly out of the box. How easy and how expensive is it to customize? Open-source platforms like Odoo offer far more customization flexibility at lower cost than closed proprietary systems.

Integration Capabilities

What APIs does it expose? What connectors are available for your payment gateways, logistics partners, and e-commerce platforms? Integration complexity is often where ERP projects exceed budget and timeline.

Mobile Access

Do your warehouse staff, field sales reps, and travelling managers need mobile access? Most modern ERP systems offer mobile apps or mobile-responsive web access — but the quality varies enormously.

Vendor Stability and Support

ERP is a 10-year relationship. Choose a vendor that will be around in year 5. Look for: years in business, number of clients, size of the development team, local support capacity, and community/ecosystem size.

Step 5: Questions to Ask Every ERP Vendor

  1. How many companies in my industry have you implemented? Can I speak to three of them?
  2. What is your standard implementation timeline for a business my size?
  3. What is included in the implementation fee and what costs extra?
  4. How do you handle data migration from our current systems?
  5. What does your training program look like?
  6. What is included in post-launch support, and what is billed hourly?
  7. How often do you release major updates and what does migration to a new version cost?
  8. Who will actually implement our project — your own team or a subcontractor?
  9. What happens to our data if we stop using your software?
  10. Can we do a pilot of one department before committing to full rollout?
